Mass hiring

High-volume hiring: from ads to day one as a single flow

Applications from ads, the career site, the bot and hh land in one funnel. The bot runs the questionnaire and invites those who pass to a meeting by itself. At the store the hiring manager scores people on a short scorecard; then training groups, security check and 1C onboarding in bulk.

Modules of high-volume hiring

Every module is switched on inside the flow vacancy and runs on its own until a person is needed. Each one is unpacked below.

Flow vacancy

Stores, meeting schedule, questionnaire and message scenario are set once. From then on the flow follows these settings.

Stores: 12 · meetings on schedule

Questionnaire: 6 questions · stop question: health cert

Scenario: welcome, questionnaire, invite, reminders

Sources and career site

Targeted ads take the candidate to the career site. Applications from the site, a QR code at the store, the Telegram bot and hh land in one funnel with the source already set. You see which channel brings people and what every application costs.

  • Ads, site, QR, bot and hh in one funnel
  • Source and campaign are set automatically

Module 02

Questionnaire and scoring

Instead of calling every candidate, the bot runs a short questionnaire in their language. Every question has an expected answer; AI compares and scores. Stop questions filter out those who definitely don't fit. Everyone else moves on without waiting.

  • Questions in Russian and Uzbek, answers in the bot
  • AI scoring against expected answers
  • Stop question: the rejection goes out by itself, politely and with a delay

Invitations and meeting schedule

The meeting schedule per store is set in advance: day, time, how many people are needed. The bot itself offers free options as buttons to those who passed. Confirmation, reminders and re-offering a time run without a recruiter.

  • Slots per store with an "at least N people" target
  • One-tap confirmation, reminders the evening before and 2 hours ahead
  • "Can't make it" and no-shows get new options automatically

Meeting at the store and mini scorecard

The hiring manager or recruiter opens the flow list on a phone right at the store. Marks who came, scores each person on a short scorecard and decides on the spot. No paper lists and no evening copy-paste into a spreadsheet.

  • List of confirmed candidates for every meeting
  • Yes/No criteria plus a score: health cert, schedule, impression
  • Decision recorded immediately: to training, maybe, decline

Training and internship groups

After the meeting people don't get lost before day one: they are gathered into training or internship groups. A group has a start date, a mentor and grades for every participant. You see who made it to the end and who can move on.

  • Groups with a start date, a mentor and a roster
  • Grades inside the group for every person
  • Who dropped out is visible the same day

Security check and 1C onboarding

The candidate sends documents to the bot before the meeting: passport, health certificate, tax ID. By the time of the security check everything is collected and the group goes in one action. Approved people are exported to 1C payroll as a list, when the integration is connected.

  • Documents collected in advance in the bot
  • To security and to 1C as a list
  • Sensitive documents are visible only to security and HR ops

Messenger and AI agent

Every candidate conversation across high-volume vacancies in one window: Telegram bot, hh after an application, career site. The AI agent answers routine questions from the knowledge base: pay, schedule, store address. What it doesn't know goes to the recruiter, whose answer can be saved to the knowledge base.

  • Inbox across all high-volume vacancies, "awaiting reply" filter
  • AI agent answers from the vacancy and company knowledge base
  • An unknown question goes to the recruiter, the answer is saved to the base

What it gives the business

Mass hiring without manual sorting

Five changes in line hiring once the flow of applications runs through the system: from the first reply to the candidate to the first shift.

Team load

One recruiter covers more locations, the team stays lean

The questionnaire filters at application, invitations and reminders go out by themselves, meetings gather into slots. Agents take the first call and the questionnaire, people run meetings and decide.

Shown by:Applications per recruiter, meeting attendance, time to start

Money

Cost per application and per hire by every source

Channel budget is visible by location and source: which channel brings people to the shift, which brings only applications. Channels without hires are switched off on numbers.

Shown by:Cost per application and per hire (CPL and CPH) by source

Shift attendance

In the morning you see who is coming to the shift

The meeting list, a mini scorecard, training and internship groups with scores. The hiring manager on site works in the same field as recruiting.

Shown by:Attendance, location staffing, days to start

HR ops and 1C

From the market to 1C without manual re-entry

Documents are collected in the bot in advance, candidates go to security and to 1C payroll as a list. Start day stops being a rush.

Shown by:Days from decision to start, share onboarded without fixes

Employer brand

Every application gets a reply within minutes

The bot answers right away, the invitation comes with the address and time, a reminder before the meeting. People show up because they are spoken to like people.

Shown by:Share of applications answered, attendance
